春节的鞭炮声还在耳畔回响,喜庆的氛围仍未完全消散,我们却已迎来了新的征程。对于我们外贸人而言,春节假期的结束,意味着新一年外贸工作的正式启航。

过去的春节,是团圆的时刻,我们与家人围坐,分享着过去一年的酸甜苦辣,享受着亲情的温暖。走亲访友间,欢声笑语回荡在大街小巷,传递着新春的祝福与喜悦。那些美味的年夜饭、精美的红包,还有热闹的春晚,都成为了我们假期中最美好的回忆。

但此刻,我们抖擞精神,告别假期的慵懒,以全新的姿态回归到外贸事业中。新的一年,国际市场充满了无限的可能与挑战,每一个订单都像是一场新的战役,每一次与客户的沟通都是建立信任的桥梁。在这万象更新的时刻,我们满怀期待,期待在新的一年里,能够拓展更多的海外市场,结识更多的合作伙伴,让我们的外贸业务蒸蒸日上。

节后复工首日,这些事得赶紧做!

节后复工首日,千头万绪,每一项任务都关乎着新一年外贸业务的顺利开展。下面这些关键事项,大家一定要抓紧落实。

1.安排假期中的订单:经过长时间的假期,部分客户在假期中下了订单的一定要第一时间逐一安排生产,避免假期本就搁置了几天,由于个人疏忽生产无法及时安排而出现交期问题。

2.年前为交货订单进度跟进:年前订单如果还未交货,一定要在接货回来跟进相关部门的进度,避免对应同事在其他紧急订单的催促下,节后疏漏了自己手里原先的订单。

3.更新开工信息:精心准备一份春节后首次群发的邮件或消息 ,向客户致以真挚的新年问候,并提供公司的最新动态。同时,在社交媒体上更新相关信息,展示充满活力的企业文化和春节期间的精彩活动,增加互动和曝光率,让客户感受到我们的热情与专业。比如在邮件中这样表达:“Dear customers, the Spring Festival has passed, and we are excited to announce that our company officially resumed business on [5th-Feb-2025]. We sincerely thank you for your trust and support in the past year.”

社交媒体Facebook,Linkedin,Twitter(X),wechat上可以配上公司团队春节聚会的欢乐照片,再加上一段温馨的文字:“Back to work with full energy after the Spring Festival! Looking forward to a great year of cooperation with you all.”

4.检查回复邮件:

1)及时检查和回复假期期间积累的客户邮件,这些邮件可能包含新订单查询、产品问题咨询或者合作事项等。特别记得把假期承诺过客户第一时间跟同事确认的细节反馈给客户。比如:客户在假期问你一个关于技术的问题,你当时不知道怎么回,告诉客户说,Let me check when I get back into office ,不要以为客户目前没问我们,这个事情就过去了,记得主动询问相关技术人员,反击给客户。

2)对邮件进行分类处理,优先回复紧急重要的邮件,确保客户的问题得到及时解决。比如对于客户的订单确认邮件,回复时可以说:“Dear [Customer's Name], we have received your order confirmation. We are now processing it and will keep you updated on the progress.”

3)对于假期没能及时回复的客户,记得诚挚表达歉意,并及时处理回应客户的诉求。“Dear [Customer's Name], Sorry for my late reply.Since we just back from CNY holiday today,I just noticed your information,Please accept my sincere apology . We are now processing it and will keep you updated on the progress.”(记得加上当时客户邮件里的需求的对应回复)

5.更新客户信息:全面更新客户联系信息以及订单状态信息,这包括订单的生产进度、发货日期、物流跟踪情况等。

1)比如客户 A 的订单原本预计在 3 月 5 日发货,在更新信息时发现生产进度提前,可及时告知客户:“Dear Mr./Ms. [Customer's Name], we are glad to inform you that the production of your order is ahead of schedule, and it will be shipped on [new date].”

2)比如某客户的货物放假前没赶上最后一水船。你可以这样通知:

“Dear Mr./Ms. [Customer's Name], we are glad to inform you that we have backed to work ,all of your goods have been on schedule ,we will discuss with forwarder and catch the latest boat. I will update the newest information to you.”

3)比如某客户的货物正在海上漂着,你可以说:“Dear xx, we have just back to office today, and I check the delivery for your last order:www.xxxxxx.... seams all is going good, hope you could receive soon.”(如果正在清关,可以说under custom clearance,如果还在运输,可以说still on the way.)

6.主动联系客户:主动出击,联系客户了解新需求,确认订单细节,解决假期期间可能产生的任何问题或误解。对于节前谈好要打款但款项未到账的客户,可以委婉提醒:“Regarding the project we discussed before the holiday, we hope you can arrange the deposit as soon as possible. With a lot of orders in line, timely payment will ensure we can meet your required delivery time.”

D.年度洽谈:用“开年政策”促决策

新年伊始,如果客户能直接确认年度订单,岂不是一件非常美好的事情。

“If you have orders that is confirmed yearly, we shall offer you the cheapest price and as much as we could support. eg.: for all your yearly order confirmed in Feb. We will discuss new price with our raw material suppliers and CEO in bulk for you, we shall take all your color box cost(可以是其他利好的政策和优惠) for yearly orders”

7.安排生产计划:与生产部门紧密协调,重新安排生产进度,确保订单按时完成。尤其是在众多同事手里都有订单等着发货的时候,非常考验外贸业务员的协调沟通能力。根据客户订单的紧急程度和生产能力,合理分配资源,制定详细的生产时间表。

8.安排发货:对于已经完成生产的商品,及时安排发货,与物流部门协调,确保商品顺利送达客户手中。提前与货代沟通,预订合适的舱位,准备好报关所需的文件,保证货物运输的顺畅。

9.追踪支付:确认客户清偿年前的账款或追踪假期前后的付款情况,保证公司的现金流。建立支付追踪表,对每一笔款项的支付情况进行记录和跟进,对于逾期未支付的客户,要及时沟通了解情况。

10.收集市场情报:收集和了解行业内的动态,包括竞争对手的情况、新的市场需求、价格变动等信息。关注行业新闻、参加线上研讨会、分析市场报告,以便及时调整我们的业务策略。

11.商务跟进:继续跟进潜在客户,发出询盘或者报价单,争取实现新的销售。对潜在客户进行分类,针对不同类型的客户制定个性化的跟进方案,提高转化效率。

12.团队协调:与团队成员协调工作进度,确定销售策略和目标计划,为达成年度销售目标打下基础。召开团队会议,分享各自的工作进展和遇到的问题,共同探讨解决方案,凝聚团队力量。
